Job description:

Working in as part of a small, high functioning team in the Land Management and Tenement Administration team these positions provide high quality administrative and clerical support to Mineral Resources Tasmania (MRT) and contribute to the effective and efficient regulation of mineral exploration and mining across Tasmania. Tenement Administration Officers have responsibility to liaise with stakeholders, including state and federal agencies, mining and exploration industries, community members and other MRT branches to manage client queries, applications and incoming correspondence. Tenement Administration Officers work collaboratively under direction from the Team Manager – Tenements to ensure efficient processes across the breadth of work of the section, including processing and administration of applications relating to mineral tenements and administration of the Mineral Resources and Development Act 1995 (the Act). This includes processing of payments and financial record keeping. The positions contribute to continuous process review to identify improvements to enhance service delivery.

Tenement Administration Officers are key positions in a small, high functioning team in the Land Management and Tenement Administration section of the Mineral Resources Tasmania team in Burnie.

The successful candidate will deliver high-quality administrative support and client services, provide accurate information, respond effectively to complex enquiries, and process applications promptly within designated timeframes.

The work includes engagement with internal and external stakeholders.

Period of Appointment

Appointment to the role is on a fixed-term, full-time basis for 12 months. 

Duties

  • Deliver comprehensive administrative and clerical support to MRT which incorporates preparation and quality assurance of documentation including Ministerial Minutes, Briefing Notes, and lease and license documents.
  • Serve as the initial point of contact for MRT clients, offering relevant information and directing complex inquiries to the appropriate officer or manager. This includes provision of reception duties.
  • Oversee and manage email inquiries and incoming physical mail for MRT, ensuring proper document control, record keeping and delivery of timely response and follow-up.
  • Ensure document management and records management systems are maintained in strict adherence to MRT and Department of State Growth guidelines.
  • Support data entry and upkeep of information databases, including the Mining Register.
  • Provide tenement administration services to individual clients and the industry
  • Process payments for MRT services and products, providing support to the Finance Officer and Team Manager as needed.
  • Facilitate the quarterly distribution of production and expenditure returns, ensuring accurate recording of all returns in relevant information management systems. This includes tracking performance and production on Mining Leases, as well as expenditure on Exploration Licenses in Tasmania.
  • Facilitate the issuance of Prospecting Licenses and handle inquiries related to the prospecting licensing system.
  • Contribute to the work of the Division by undertaking any other assigned duties at the classification level that are within the employee’s competence and training.

Desirable Requirements

  • Previous experience working within a multi-faceted regulatory team environment.
